With this feature, you can work collaboratively with your team to create agendas, take notes, and generate action items. Notes are visible on Teams and are automatically synchronized across devices.
NOTE: Only the meeting organizer can activate this feature. Once this feature is activated, all meeting attendees (internal staff) can edit the agenda, notes, and action items.
First, schedule a meeting.
If you scheduled a meeting in Outlook, you need to open the meeting in Teams, under Calendar. Click the Add an agenda everyone can edit option at the bottom to activate this feature.
A new section will appear at the bottom of the calendar event in Teams. Look for the Loop logo:
Meeting organizers and team members can edit the agenda, notes, and follow-up tasks before the meeting. Please note that external guests won’t be able to access these features until after the meeting.
During your meeting, click on the Notes button on the top toolbar.
A Meeting notes pane will appear, where all meeting attendees can create and edit an agenda, meeting notes and follow-up tasks in real time.
Follow up after your meeting.
All your Collaborative notes can easily be shared from your meeting across Microsoft 365. The notes stay in sync as changes are made across apps.
You can go to Microsoft 365 and search for the relevant meeting name to view your notes.
To access all your collaborative meeting notes, go to OneDrive, click on My files, and find your Meetings folder. You can also find this Meetings folder on your desktop OneDrive. Notice these files have the *.loop extension and Loop icon.
NOTE: Meeting notes will reside with the person who created the meeting. Notes can be shared from OneDrive using the Share icon in the upper right hand corner.
To assign Tasks in Collaborative notes, enter @ and the person’s name under the Assigned to section. You can also enter a Due date.
To view your tasks, go to Teams, open the Tasks by Planner app, and click the Assigned to me option. To learn more about the Tasks by Planner app, click here.

Known Issues and Limitations:
- External and guest participants can’t access meeting notes before or during the meeting.
- If you @mention a user while editing Collaborative notes on Microsoft 365, you’ll need to give access to users using the Share and notify popup.
- You might see an error message if you join a meeting with over 100 attendees
- Teams doesn’t support channel meetings, ad hoc Meet Now meetings, and 1:1 calls.
- Mobile clients are not yet supported.
